Sorting is the order that your Resources are ordered and displayed in a View’s Gantt chart. There are several options to choose from - either by Name, the Data Field values, using custom criteria, and more. Plus, Sorting can be combined with Grouping to make planning even more customizable. Must Know
- All Owners and Admins and Users with Change view settings rights can use Sorting to organize the Resource pool in Custom Views they have access to.
- Users are not able to save the Sorting options permanently to the Custom View. Only Owners and Admins may do that.
- Resource Groups or Projects must first be enabled in order to Sort via Resource Groups or Projects.
- Sorting is View-specific, each View created can have a different means of Sorting applied.
- Sorting options include: Name (A-Z or Z-A), Resource availability, Resource Groups' titles, Projects, Projects' Date-type Data Field values (f.e. Project milestones), or a custom order.
Sorting in a View
- Open a Custom View from the View List via the left Sidebar.
- Click the Sorting icon. A dialog will open.
- When no Resource Grouping is applied, there will be three Sorting options to choose from
- Custom order - the order that the Resources appear in the Resource List.
Tip! Drag and drop them on the Resource List to get them in the desired order. - Title/Name - the name of Resource, putting them in alphabetical order.
- Availability - in ascending or descending order of their utilization.Double click to reverse the applied order (f.e. Title > from A-Z to Z-A).
- Custom order - the order that the Resources appear in the Resource List.
- Hit Apply to see your Custom View temporarily Sorted, or Apply and Save to make it the permanent option for that Custom View.
Sorting Resource Groups
In addition to individual Resources, Sorting can be applied to Resource Groups or Projects. Meaning you can determine the order of Projects or the Resources according to their location, type, etc.
To enable, first apply your desired Grouping option to that Custom View.
- Open a Custom View and click on Resource grouping from the View’s Toolbar.
- Apply how you want the Resources Grouped. Use Preset groups such as Projects or Group around your Resource Data Fields.
NB! Only List and Check Type Resource Data Fields may be used. - Apply and Save and return to your Custom View.
- Open Resource Sorting via the View Toolbar, next to Grouping. Select how the Resource Groups are displayed on the Gantt chart.
- Custom order - An order decided by the user. Configure this by opening that Resource Data Field’s Edit Dialog and dragging and dropping the values to the desired order.
- Title/Name - the name of value, putting them in alphabetical order. If you instead Grouped Resources via Projects. Choose your Sorting based around Project Date type Data Fields. These include end dates and milestones.
- Custom order - An order decided by the user. Configure this by opening that Resource Data Field’s Edit Dialog and dragging and dropping the values to the desired order.
- The Resources within each Grouping can also be Sorted.
- Hit Apply to see your View temporarily Sorted (Owners, Admins and Users), or Apply and Save (Owners and Admins only) to make it the permanent option for that Custom View.
- Return to the Custom View to see your Resources listed according to your choices.

Sort by Availability
Sorting Resources by Availability is a good way to find the Resources that are free during the time period that you have open in the Gantt chart area. Additional Resource Availability filters are available via the Filtering section. If you pair Resource Sorting with Filtering, you can filter out the Resources with the right skills for the Task you are planning and then choose the one with the lowest Utilization percentage to assign the Task to.
