Single Project Views are great if you want to focus only on one Project and dive into the nitty-gritty of Project details. Single Project Views support multiple work breakdown structures (WBS), depending on how you schedule your Projects. Discover how to access the Single Project View, what can be customized, and different ways to create new Project Tasks and book Resources.
Must Know
- Use Single Project Views to create a WBS (work breakdown structure), add Resources to Tasks, and keep an eye on how that relates to other Projects' Tasks or the schedules of all other Resources.
- All Owners, Admins and Users with Editor Add/Edit Project permissions can access the Single Project View.
- Created work breakdown structures (tasks, dependencies etc) of this View are public by default. This can be adjusted in order to limit access to this Single Project View for selected Users.
- Changes to Grouping, Sorting, Coloring, Filtering, Time Period, and Visibility Settings are specific to each User’s View only. Allowing each manager to see their own POV of the Project.
- Create an Open-Access URL View to share a Single Project View with specific criteria.
- When planning Resources in a Project View, Tasks are automatically connected to that Project. You can assign the Tasks to another Project via the Task Edit Dialog outside the Single Project View (in any Custom View).
Open a Single Project View
Click the Projects icon on the left sidebar to open the Project List.
Click the icon in front of the Project name to open the Single Project View.
Or open multiple Single Project Views at once. Mark the checkboxes in front of the open Project icon. Click Open at the top.
The selected Project or Projects will open in their own Single Project Views.
Single Project View Toolbar
There’s lots that can be done within the Single Project View - organize the View for easier planning, see the WBS, shift its Tasks, and more. Most of this begins in the toolbar. From left to right you can:
- Project Edit Dialog - click the hamburger icon on the top left to open its Dialog. Edit the name, Project Data Field values, delete or archive.
- Copy Project - create an exact replica of Tasks, Data Fields and assigned Resources.
- Save Project as Template - create a reusable Template of the Project’s Tasks, Data Fields, and Resources and convert it into new Projects
- Shift Project - a way to delay the Project’s Tasks or move them up the timeline.
- Project Notes - collaborative space for comments, issues, and Project info
- Project History - See a History log of all the Project's changes, additions, and deletions.
- "Tasks", "Project Resources", "All Resources" - a way to Toggle between different subsections of the View to see or schedule only its Tasks, its Tasks and Resources, or the entire resource pool (explained below).
- Grouping - a way to specify how this View’s Tasks and Resources are grouped together.
- Sorting - a way to specify how this View’s Resources, Resource Groups, or Tasks are displayed.
- Taskbar coloring - Decide how you want the Taskbars colored in this View - either by its Task colors, Task Data Fields, Project colors, Project Data Fields, or Resource colors.
- Filtering - a way to search for specific criteria and filter out related items.
- Time Period - Specify the time period of the Gantt chart.
- View's Visibility Settings - specify what’s shown in the Single Project View, including Resource availability trackers, Task Dependencies, Resource Utilization Graphs, and more.
- Project Permissions - Make the View publicly available or to just select users.
- Project Sharing - Create a shareable URL of the View which expires at a chosen date. Can be shared with non-users.
Single Project View Modes
Within the Single Project View, there’s a way to hone in on your Projects’ specifics even more. Just toggle between the Project’s Tasks, Project Resources, and All Resources modes.
Tasks
This will display all the Project’s unassigned and assigned Tasks connected to this Project.
NB! Resources assigned to the Task will be displayed under Task Title in the list if Medium chart row height is activated via Account Settings or Views' Visibility Settings.
From here you can also add new Tasks that will be automatically connected to this Project - just click the +, Add new Task, or just drag and drop in the horizontal timeline highlighted in light blue.
Tip! Group and Sort Tasks within this Single Project View's Task mode for better organization. For example, Group via Data Field values to see Tasks by status i.e. Confirmed, In Progress, Completed etc. Or, sort Tasks by start/end times.
Project Resources
See the Resources and their assigned Tasks associated with the Project. Here you’ll also see Resources who were previously assigned to past Tasks on this Project. As well as any unassigned Tasks that are still waiting on a Resource.
This is a convenient space to schedule and reschedule Resources. Just drag and drop the Tasks from the Unassigned section at the top to an available Resource's timeline below.
Tip! Use Grouping and Sorting to organize Resources and Resource Groups. For example, Sort via Resource availability, all the Resources with some availability will be near the top.
All Resources
Toggle this to see all assigned and unassigned Resources in the resource pool. Opening up more opportunities for scheduling.
If a Resource is assigned a Task from a different Project or if the Task is not linked to any Project, it will be faded and displayed as a placeholder that indicates the Resource is already booked for that time period.
Tip! Enable Resource availability counters and Utilization Graphs to help warn against overlappings and overallocations.
